Send from your own email
Falcon sends your emails for you from day one. If you'd like them to come from your own address, like support@yourstore.com, connect your mailbox. It takes a few minutes.
You'll find both options in the Sending email card at the top of Settings → Email notifications.
Falcon email or your own
| Option | How it works |
|---|---|
| Falcon email (marked Recommended) | Ready now, with nothing to set up. Emails come from Falcon's address, shown under your store's name. Replies go to your reply-to address. |
| Your own email | Emails come from your store's address, through your own mail provider. |
You can switch at any time. The card shows Sending when emails are going out, and Not sending when they aren't.
Set a reply-to address
With Falcon email, customers reply to your reply-to address. If none is set, the card asks you to add one. On the Notify customer tab, click Edit reply-to.
Connect your mailbox
- Go to Settings → Email notifications.
- In Sending email, click Your own email.
- Pick your provider: Gmail / Google Workspace, Outlook / Microsoft 365, Zoho Mail or Other (SMTP).
- Fill in the fields below.
- Click Test and connect.
Falcon checks the connection before saving. When it works, you'll see "Connected. Emails will be sent from" your address, and your emails switch to your own mailbox.
The fields
| Field | What to enter |
|---|---|
| Email address | The address emails come from, like support@yourstore.com. |
| Sender name | The name customers see. It starts with your store name. |
| Username | Usually the same as your email address. It fills in as you type the address. |
| App password | An app password from your provider. For Other (SMTP) this field is called Password. |
| SMTP server | Other (SMTP) only. Your provider's server, like smtp.example.com. |
| Port | Other (SMTP) only. Choose 587 (STARTTLS), 465 (SSL), 2525 or 25. |
For Gmail, Outlook and Zoho, Falcon fills in the server, port and security for you.
Provider notes
- Gmail / Google Workspace: use an app password. Find it under Google Account → Security → 2-Step Verification → App passwords. Your normal password won't work.
- Outlook / Microsoft 365: SMTP sending must be allowed for the mailbox. In Microsoft 365 admin, go to Users → Mail → Authenticated SMTP.
- Zoho Mail: use an app-specific password if two-factor sign-in is on.
- Other (SMTP): enter the SMTP server details from your email provider.
Encryption
Port 465 uses SSL from the start. The other ports must upgrade to an encrypted connection with STARTTLS. Falcon won't send over an unencrypted connection. Your password is stored encrypted and is never shown again.
If the connection fails
Falcon tells you what went wrong:
| Message | What to do |
|---|---|
| The username or password was not accepted | Check both. Gmail and Outlook need an app password. |
| The server could not be reached | Check the server and port. |
| The server didn't accept the connection | Check the server, port and security setting. |
The server must be a public address. Local or internal server names aren't accepted.
Edit, switch back or disconnect
Once connected, the card shows your sender name, address, provider and server.
- Edit opens the form again. Leave the password empty to keep the saved one, as long as the username stays the same.
- To go back to Falcon's address, click Falcon email. Your mailbox stays saved. Click Use followed by your address to switch back to it.
- Disconnect removes your mailbox. Emails go out with Falcon email again.
If your mailbox stops working
If you pick your own email and it isn't connected, emails don't go out. The card shows "Emails aren't going out right now." Each email is listed on the return's timeline as not sent.
What changes when you connect
- Customer emails come from your address and name.
- Replies go to your reply-to address. If none is set, they go to your sending address.
- The test send and the inbox preview use your address.
- The text, look and on/off switches of your emails stay the same.
